GENERAL RESPONSIBILITIES

• Handling all client correspondence and acting as the point of contact
• Providing discretion and confidentiality
• Processing all client wants and needs
• Obtaining client testimonials and feedback
• Preparing seller and buyer consultation packages and materials
• Coordinating with sellers on property photos, staging, repairs, cleaning, signage, lockbox, access requirements and marketing activities
• Working with the milehimodern team to coordinate listings in MLS
• Coordinating showings for buyers
• Coordinating title/escrow, mortgage loan and appraisal processes
• Coordinating inspections and scheduling contractor visits to homes
• Coordinating moving/possession schedules
• Tracking inventory movement on a daily basis and managing inventory database
• Tracking and organizing leads from online sources, maintaining contact database
• Scheduling all meetings and appointments, entering contract dates and deadlines into the calendar
• Making travel arrangements
• Managing office supplies
• Developing and monitoring efficient systems and processes
• Maintaining Licenses, Insurance, Realtor Association Memberships
• Hiring, onboarding and training of additional team members
• Supporting sales agents in lead generation efforts
• Maintaining and creating more systems for online lead generation
• Planning, executing, and building on long term larger projects for the business
• Managing the marketing of listings online
• Optimizing and analyzing analytics data
• Managing paid web campaign performance
• Creating and maintaining email campaigns
• Coordinating and planning events
• Blog writing for the website
• Prepping Open House collateral
• Posting scheduled and planned content to social media platforms
• Website management (front end and back end)
• Coordinating client gifts, buyer books, and drop-by routes
• Working with the mhm marketing team to coordinate mailers and advertisements

EXPERIENCE REQUIREMENTS

• Experience as an Executive Assistant, in Business Operations, or in other assistant or administrative positions
• High level of verbal and written communication skills
• Exemplary planning, scheduling, organization, and time management skills
• Full comprehension of office management systems and procedures
• Knowledge of real estate technology systems are an advantage
• Video and Photography knowledge, or experience with Photoshop, Illustrator, and/or comparable graphic design software are an advantage
• Familiarity with architecture and/or design is an advantage

EDUCATION/LICENSE REQUIREMENTS

• Real Estate License is an advantage
• High School degree
• Bachelor’s or Associate’s Degree (business school, real estate, or related study is an advantage)
